RVA CONFERENCE AND COVID-19 UPDATE

Last week we advised you not to make any travel bookings for our 2020 Conference at the Sofitel Denarau in Fiji, and promised a confirmation of what we're doing by today.

The Conference Committee has agreed that the 2020 Conference at the Sofitel Fiji WILL NOT proceed this year, due to the uncertainly surrounding the COVID-19 outbreak. Instead, we are pleased to confirm that we have secured Monday 21 June to Thursday 24 June 2021 with the Sofitel, which will allow you to amend flights and hotel bookings if they've already been made.

The Sofitel confirm that they are happy to change your reservation dates to the corresponding days in 2021 if you wish. They are also prepared to refund any payments made if you don't want to transfer to 2021. Alternatively, you are entirely free to enjoy the break there this year if you wish (and rebook for 2021).

At this stage we are not planning a conference in 2020 until the COVID-19 outbreak is brought under control. If we do have an event this year it's likely to be a short two-day conference perhaps in mid-October. If this happens we will keep you informed. We are required to hold an AGM within five months of the end of the financial year (i.e. by 31 August 2020) and we will advise that detail as soon as possible.

In the next few days I will be in touch with exhibitors and sponsors about the changes and options for this year and next. We thank you for your patience and hope that we will find an acceptable compromise.

At this stage the Independent Villages Forum in Nelson on 3 April 2020 and the Policy and Finance Forum in Christchurch on 7 May will proceed, unless there is advice from the Ministry of Health otherwise. We will be suspending all regional forums until further notice, and I will be in touch in the next week or so with host villages, speakers and sponsors to look at alternatives.

RVA COnference and COVID-19

The RVA's Executive Committee meeting on Thursday 5 March and considered whether it is prudent to continue with our 2020 Conference in Fiji in light of the global concern about the spread of COVID-19.

After considerable discussion, it was agreed that the RVA will need to either postpone or cancel our 2020 Conference until the implications of the COVID-19 outbreak are better understood.

Factors that were taken into account in this decision included the ability of the Fijian medical system to manage an extensive outbreak and the risk that infection may be transmitted to our vulnerable residents.

Please do not make any further travel arrangements to Fiji for our Conference, and if you have already made bookings, we recommend that you check your travel insurance in case the event is postponed to a later date or cancelled altogether. We will review this next week and confirm by 13 March whether the event will be cancelled or postponed. If the event is cancelled consideration will be given to going to Fiji in 2021.

Exhibitors and sponsors will be advised on how to proceed as soon as possible.

We stress that this decision has not been made lightly and apologise for the undoubted inconvenience this will cause.

The RVA's regular forum programme (including the Independent Villages, Regional and Policy Forums) will continue as advertised, but host organisations must ensure there are supplies of hand sanitiser and bathroom amenities available for attendees to use. Please refer to the Ministry of Health's website for more information. If this changes we will alert everyone as soon as possible.
